Bank Records Management
Security, compliance and efficiency.
Secure bank records management is essential to meeting your
auditor, and customer demands. We have served Fortune 500 companies
and small community banks alike, since 1959. Our experienced
staff, secure facilities, and time-tested procedures are ready
to help you meet those demands.
Industry legislation such as Gramm-Leach-Bliley ACT (GLB),
the Sarbanes-Oxley Act (SOX), and the Fair and Accurate Credit
and Transactions Act (FACTA), combined with government regulation
and oversight, create the need for a rigorous bank records
management program that addresses securing private information,
storing records according to an acceptable retention schedule,
and destroying information that has passed its retention date.

SERVICES – Bank Records Management

 |
Inprocessing, Filing, Retrievals
Banks and other financial institutions
consider us an outsourced arm of their records management team.
Your bank records are carefully identified, barcoded, entered
into our system and tracked. Whether your records
are on paper, microfilm,
microfiche,
or data tape – we can
locate and retrieve them, often faster than companies can on-site.
We deliver using a variety of methods including our wholly-owned
transportation fleet, overnight shipping via third party carrier,
faxing, or scanning and digital transmission. |
 |
Microfilm Storage
Our microfilm vaults store images of cancelled checks, statements,
investment reports and portfolios, accounts payable records,
wire transfer information, audit records, consumer loan records,
account information and more. These vaults provide storage
conditions ideal for all micrographic media. For fast access
to your records, we offer microfilm scanning services. We also
offer inspection services to monitor your film for possible
redox or vinegar syndrome infestation, and coordinate duplication
and brown toning to meet your preservation needs. |
 |
Hard Copy Storage
Let us free up your valuable on-site office, vault and storage
space. We offer boxed storage of cancelled checks, statements, contracts
and other banking and finance related records. Items within boxes
can be barcoded and identified, even sheets of paper can be tracked
in our system. We also offer certified destruction services when
your records meet their retention dates. |
 |
Data Storage
For disaster recovery and business continuity concerns, off-site
data tape vaulting is a simple and cost-effective solution. Media vaults in our underground facilities in Kansas, Missouri and
Kentucky offer an added measure of protection. Tape rotation services
provide convenient and efficient rotation of your backup information. |
 |
Vault Storage
Imagine your own bank vault located
650 ft below the earth’s
surface, encased in a solid strata of rock 400 ft thick,
with only two vertical entrances, situated in rural Kansas. Our salt mine storage
facility provides private vaults for numerous clients, some
with bank vault doors and additional climate controls. Our underground limestone
mine facilities in Kansas City and Louisville also extend
custom vault options to financial institution clients.
