Medical Records Storage

Paper, electronic records, x-rays, samples.

The healthcare information management burden is a heavy one. It combines HIPAA compliance, budget concerns, space availability, staffing considerations, quality of patient information, access needs and more.

Can an overstuffed file room be better used as profitable space? Should every medical record be imaged to meet electronic healthcare record goals? What happens if a server goes down?

We can help shoulder the burden. Click here to contact us today, or read about our medical records storage services below.

Patient Record Storage

Though developments in electronic healthcare records (EHR) systems are promising, imaging backfiles and future paper records can be cost prohibitive. Often, a balance of electronic and paper records is best.

For those patient files that are best left physical, we provide economical and secure storage. Let us free up valuable space for revenue-generating services. When compared to the cost of climate control, staffing and benefits, lost potential revenue, and training: UV&S can save you money and headache.

Every item is barcoded, entered into our robust management system, and tracked. You can request retrieval by box, file folder, or individual document. We can even barcode slips of paper. Filing, refiling and interfiling are common requests. We offer same day retrievals and shipping. Information can be faxed to you, scanned for encrypted transmission, or transported via our wholly owned fleet of couriers.

X-Ray Storage

Both climate-controlled and unconditioned x-ray storage is available, regardless of size or film media.

Microfilm and Microfiche Storage

Ideal storage conditions for patient records on microfilm are rare and expensive. The effects of redox, vinegar syndrome and mold are unfortunately common.

Our climate-controlled microfilm vaults are specially designed for acetate, polyester, silver and diazo-based microfilms. We also have two specialized preservation vaults: One limited to brown toned microfilm, the other limited to silver microfilm. We offer scanning and transmission services, and can coordinate more specialized duplication, restoration and imaging services.

Backup Data Storage

With the rise of electronic records, digital x-rays, and sonogram recordings comes the increased need for secure medical data storage. We’ve seen data tapes in doctor basements, clinic basements…even desk drawers. One clinic fire, one spike in temperature and humidity, one dropped tape, and the data may be unrecoverable. Recent identity thefts underline the importance of proper data storage.

We offer economical tape vaulting services for clinics, hospitals and labs. Our bonded courier driver will pick up your tapes, enter them into our system, place them within one of our climate-controlled media vaults, and change them out according to your rotation schedule.

For long term archiving of medical records, our media vaults are the perfect home. Vaults include dry fire suppression, web-accessible temperature and humidity monitoring, fire rated walls and doors, cartridge racks and more.
